Private label food, coffee and beverages
Shelf life is the hidden number in food private label. It sets how much you can order, how far you can ship and how much you will write off.
Private label food and beverage: start from the shelf life
Private label food means recipes made by a certified co-packer and sold under your own brand: coffee, tea, confectionery, snacks, sauces or drinks. It differs from non-food private label in one practical way. Stock loses value every day, so a first order sized for a good price per unit can turn into a write-off before it sells through.
Work backwards. Take the shelf life at production, subtract the transit time and what retailers require to remain on arrival, and you have the real selling window. Divide your forecast by it and you get a safe order. If that order is below the factory minimum, change the product, the pack or the channel before you sign anything. The calculator helps with the rest of the margin.
We work with selected contract producers and check their certificates against what your buyers expect. Allergen and labelling points below are general information; your project’s final label goes past a food law specialist.
Common product routes
Ambient and long-life products are the usual place to start.
Coffee and tea
Low entry barrier and strong competition. Roast, origin claims and packaging barrier decide quality. Check organic or fair-trade certification before you print the logo.
Snacks
Light but bulky, so freight per unit can decide the margin. Retail buyers look hard at nutrition and at the shelf facing.
What drives the minimum
Production run on the line, printed film or label minimums, and the cost of cleaning down between products.
Food rules by main market
Label and importer duties differ sharply, and neither is optional.
| Market | Label | Who answers | Before shipping |
|---|---|---|---|
| EU | Mandatory information for prepacked foods, including allergens emphasised in the ingredient list and a nutrition declaration (Regulation 1169/2011) | The food business operator named on the label, established in the EU, or the importer | Registered food business, traceability, label in the language of each country of sale |
| US | FDA labelling, including the nine major allergens (sesame since 1 January 2023) | A US-based FSVP importer, who must verify the foreign supplier | Foreign facility registered with a US agent; the importer is identified at entry |
| Saudi Arabia | GSO 9:2022; Arabic label or translation | The local importer | Certificate of origin; meat and poultry need a halal slaughter attestation |
This table is a starting point. A claim such as organic, high-protein or sugar-free adds its own conditions.
What to have ready
Most of these need the recipe to be final, so freeze it early.
- Final recipe, ingredient specifications and allergen map, including cross-contact on the line
- Shelf-life evidence on the final pack and a realistic sell-through calculation
- Producer food safety certification that your target retailers accept
- Importer and food business operator roles assigned and registered
- Batch coding, recall procedure and a named person to contact in an incident
Frequently asked questions
How do I start a private label food brand?
Choose a shelf-stable product and a specific channel, then find a co-packer with certificates your buyer accepts. Confirm shelf life and label before ordering. Budget for the write-off risk from the first day, not after the first expired pallet.
Do I need my own factory or kitchen for a food brand?
No. A contract producer can make it, but you remain the food business operator or brand owner with duties for labelling and safety. Check that the contract states who holds which registration.
What minimum order should I expect for private label coffee or snacks?
It varies by line and pack. Across categories our working figure is 300–1 000 units per product, but food often rises above that once printed film and line runs are counted. Test with labels on stock packaging if the producer allows it.
Is own-brand food a good idea for a retailer?
Often, because a retailer already controls shelf space and demand data. The risk moves to stock and to quality incidents, which now carry your name. Start with categories that already sell well and where the branded premium is clear.
